Introduction
As a temporary worker supplied by HG Recruitment Solutions we are required to evidence compliance with the client’s best practice and with the laws governing employment.
Your personnel file contains personal data that is protected under the General Data Protection Regulation (GDPR). This document seeks your explicit consent to allow your personnel file to be audited by the Client and/or authorised third parties for compliance and business purposes.
Purpose of Data Processing
The purpose of this consent is to permit the Client and/or authorised third parties to audit your personnel file. This may include, but is not limited to:
- Verifying compliance with contractual obligations
- Ensuring adherence to relevant employment laws and regulations
- Conducting internal or external audits
Data to be Audited
The data that may be audited includes:
- Application and interview documents
- Employment history and references
- Proof of Identity and Right to Work
- Main Statement of Terms of Employment
- DBS checks
- Qualifications, professional body membership, and training records
- Health records
- Appraisal evaluations and feedback
- Payroll and tax related documents
- Consent forms
- Any other document relevant to your employment
Legal Basis for Processing
The legal basis for processing your personal data for auditing purposes is your explicit consent, as outlined in Article 6(1)(a) of the GDPR.
Duration of Consent
This consent will remain valid for the duration of your employment through the Agency and for two years after the termination of your employment, unless you withdraw your consent before that time.
Your Rights
As the data subject, you have the following rights under the GDPR:
Right to Access: You have the right to request access to the personal data held about you.
Right to Rectification: you can request corrections to any inaccurate or incomplete personal data
Right to Erasure: you can request deletion of personal data under certain conditions

Right to Data Portability: You can request the transfer of your personal data to another organisation

How to withdraw consent
If you wish to withdraw your consent, please contact the Data Protection Officer. Withdrawing consent does not affect the lawfulness of processing based on consent before its withdrawal.
Declaration of Consent
By agreeing, you acknowledge that you have read and understood our GDPR Candidate Agreement, and you voluntarily agree to the auditing of your personnel file by the Client and/or authorised third parties as described above.
